Terms & conditions terminology and definitions
“Cancellation” is defined as not attending the scheduled retreat. “You” refers to the guest booking a spot over “Philoxenia” Yoga Retreat 2023. “We” refers to Yogazaz.
It is your responsibility to read and understand the terms and conditions before making any reservation.
Payment Policy
- To reserve a spot on “Philoxenia” Yoga Retreat, a deposit of 30% of the total amount is required.
- The deposit is to be paid by bank transfer within seven (7) days after filling in the registration form.
- The full payment (due amount) is to be paid at once in cash on arrival at the retreat’s location.
The retreat prices are charged per person and do NOT include flights, transfers to/from the airport, a car rental, extra treatments and activities other than those stated in the programme.
Guest Cancellation Policy
The following cancellation fees apply to all guests :
- If cancellation takes place up to fourty (40) days prior to the retreat start date, you will receive back a 100% refund, minus the deposit.
- If cancellation takes place between thirty-nine (39) and twenty-one (21) days prior to the retreat start date, you will receive back a 50% refund, minus the deposit.
- No refund is given for cancellations made within twenty (20) days priori to the retreat start date.
We do not offer credit for arriving late or leaving early.
COVID-19 related cancellations
- Bookings with regards to the 2023 retreats are revokable and fully refundable (incl. deposit) in case the participant cannot travel due to government imposed travel restrictions (specifically, mandatory quarantine upon arrival from or return to guest’s country) or travel ban measures between the departing country of the participant and Greece. Cancellations of this nature will be accepted only 10 days before the retreat begins. Cancellations requested before this timeframe are subject to regular cancellation policy.
- In case the participant cannot travel due to infection by COVID-19 and provided there is sufficient proof (official medical certificate required), the guest shall receive a voucher equal to the full amount paid, valid for 2 years or transferable to a friend/relative.

“Philoxenia” Yoga Retreats Cancellation Policy
Yogazaz always caters for the best of its guests and canceling a retreat will always be the very last option. However, if Yogazaz must cancel a scheduled retreat due to low participation, you’re entitled to transfer your full payment to another scheduled retreat or request a refund of your payment.
Yogazaz is not responsible for your expenses incurred in preparation for any cancelled retreat, such as other accommodation, airline tickets, car rental, loss of work, and/or other costs associated with preparing for your trip.
Force Majeure
Yogazaz shall not be responsible for not fulfilling its contractual obligations to the extent that the failure to fulfil them is due to events outside its control, that is, force majeure events such as a pandemic, acts of God, fire, flood, cancellation of flights or/and prohibition of sailing due to adverse weather conditions, war, acts of terrorism, riot, civil commotion, governmental actions (excluding regulatory change), labour disputes, and any similar events. In such force majeure events, you’re entitled to transfer your full payment to another scheduled retreat or request a refund of your payment.
COVID-19 specification
In case travel or governmental restrictions are applied to Greece or to the international tourism and travel sector, and a retreat needs to be cancelled, any amounts paid will be credited in the form of a voucher valid for two (2) years from the start date of the canceled retreat or you’re entitled to request a refund of your payment.
Currently you can travel without any restriction to Greece from other European coutries. However, we advise you to regularly review the following travel protocol deployed by the Greek Government and the Greek Ministry of Tourism to ensure your seamless planning, entrance and safety during your holidays in Greece . You acknowledge that it is your sole responsibility to review the following page and abide by the official general public health safety guidelines. If you don’t agree to follow the official travel instructions announced on the following page by the Greek government, normal cancellation policy will apply, should you decide not to join the retreat.
Reservation of Right
Yogazaz reserves the right to make any changes deemed necessary to our retreats.
Travel Insurance
Guests must have adequate travel insurance to cover the retreat’s activities.
Please note, even if you have a private health insurance in Greece or your respective country of residence, it is unlikely that this insurance will cover overseas trips such as the retreats offered by Yogazaz.
It is your responsibility to organise suitable travel and health insurance. Although we strongly encourage you to do so, you acknowledge that Yogazaz is not in the business of providing insurance products and cannot be held liable if your failure to arrange suitable insurance coverage leaves you exposed, medically, financially, or otherwise.
Passports, Visas and Documents
It is the responsibility of each guest to obtain a valid passport, visa(s) and necessary certificates for traveling to Greece.
General Waiver – Limitation of Liability
You acknowledge that during the retreat, you will participate voluntarily in all activities arranged by Yogazaz, and that you will be involved in physical activities which, like any physical activity, carry a risk of injury.
You hereby certify that you are physically fit and have not been advised to not participate by a qualified medical professional, by any means or in any manner, in any such activities arranged by Yogazaz. You hereby certify that there are no health-related reasons or problems which preclude your participation in any and all activities arranged by Yogazaz.
Although Yogazaz, its representative Elsa Keraudren, and the other voluntary staff present during the retreat will make all the reasonable efforts possible to minimize your exposure to any known risks, you acknowledge that Elsa Keraudren, the other instructors and volunteers serving you during the retreat are not certified medical providers and that they therefore have no medical expertise to i) determine the effects of any specific activity or ii) give you detailed medical advice on a health issue you might have.
You hereby agree to be responsible for your own well-being and to assume all risks incurred to your person during the retreat in the event of delays, unforeseen events, illnesses, injuries, emotional trauma or death.
You hereby release Yogazaz, Elsa Keraudren and the other volunteers from any claim or lawsuit for injury, death, property damage or theft, loss, or other liability of any kind arising directly or indirectly from your participation in “Philoxenia” yoga retreat.
You understand and agree that, while Yogazaz strives to promote integrity and a code of ethics in the context of this retreat, Yogazaz is not responsible for the actions of those who also take part in this yoga retreat.
You agree that this release shall be legally binding upon you personally and all members of your family.
Changes to our terms and conditions
We keep the present Terms and Conditions under regular review and we reserve the right to amend or update the present Terms and Conditions at any time. The effective date is displayed above. Thus, we advise you to review this page periodically for any changes. To keep you informed of any changes to the present Terms and Conditions, we will notify you by email. These changes are effective immediately after they are posted on Yogazaz’s website.
Disputes and applicable Law
Yogazaz and Guests shall make every effort, so that any difference, dispute or disagreement that may arise during the conclusion, interpretation and execution of the present Terms & Conditions, as well as claims related to them, is resolved out of court, with negotiations in a spirit of good faith within reasonable time after the date of the written expression of the disagreement by any of the parties.
If a difference is not resolved in this way, competent for its judicial resolution shall be the Courts of Brussels, Belgium, exclusively, which shall decide on any trials regarding the execution, and the Belgian law shall apply.
By booking into this retreat, you hereby certify that you have read and fully understood the present Terms & Conditions. You are fully aware that there is a release of liability included, and you accept and agree on your own free will to all Terms & Conditions and applicable rules stated above.
Finally, you acknowledge and agree that the personal data you share while completing the reservation form will be used by Yogazaz in a confidential manner, for organisational purposes and for your own well-being and security. This data will be kept for a period of 2 years after the retreat is held, unless you request for your data to be erased by writing to us a letter or email.
